A commercial air conditioning project fails for different reasons than a domestic one. The equipment is rarely the problem. What derails these jobs is a system sized on floor area rather than heat load, a landlord consent process nobody started until week three, or an installation programme that assumed the shop could close for two days.
We work the other way round: survey first, consent pack early, and a programme built around when your building is actually available. Below is how that works, what it involves for offices, retail and industrial premises, and what your obligations are once the system is running.

Ceiling cassettes
Recessed into a suspended ceiling, throwing air in four directions. The default choice for offices, meeting rooms, shop floors and restaurants — even coverage, nothing on the walls, and a clean ceiling line.
Ducted systems
The indoor unit hides entirely in a ceiling void, with only grilles visible. Used where the ceiling is a designed surface — showrooms, hospitality, and any interior where visible plant would undermine the fit-out.
VRF and VRV systems
Variable refrigerant flow: many indoor units on a single pipework network, with individual zone control and the ability to heat one area while cooling another. This is the standard approach for whole floors and multi-tenant buildings, and it is considerably more efficient at part load than running a dozen separate systems.
Split and multi-split systems
Still the right answer for smaller premises — a single retail unit, a two-room office suite, a server cupboard needing dedicated cooling. There is no advantage in specifying a VRF system for a building that does not need one, and we will say so.
Cold rooms and commercial refrigeration
Not every commercial cooling requirement is comfort cooling. For kitchens, food retail and anywhere holding stock at temperature, the answer is a cold store rather than air conditioning — and we handle cold room installation as well: modular chillers and freezer rooms, walk-in fridge-freezer combinations, and the refrigeration plant that serves them.

Offices
The recurring problem in London offices is that heat load has almost nothing to do with floor area. A twelve-person team with two monitors each, in a south-facing room with full-height glazing, generates dramatically more heat than the same square metres of north-facing meeting space. Systems sized on a per-square-metre rule of thumb are the reason so many offices have air conditioning that still cannot cope in August.
We survey by zone, taking occupancy, equipment load, glazing orientation and solar gain into account, then specify accordingly — typically cassettes or a VRF system with independent zone control so the meeting room and the open-plan floor are not fighting each other through one thermostat. Where a server room or comms cupboard sits inside the demise, that gets its own dedicated system, because it needs cooling in February as well as July.
Retail units
Retail has one non-negotiable constraint: the shop floor has to stay open. Everything else follows from that. We phase retail installations into evenings, overnight and weekend slots, keep pipework routes out of customer areas, and sequence noisy work well outside trading hours.
The technical challenge is different too. Shop entrances stand open for much of the day, so a system sized purely on internal volume will run continuously and never quite win. Door heat load, display lighting and the pattern of footfall all belong in the calculation. For food retail and hospitality, we will also flag where cooling interacts with your refrigeration and ventilation before it becomes an operational problem — including where the real requirement turns out to be a cold room rather than more comfort cooling.
Warehouses and industrial units
Large-volume spaces rarely need — or can justify — full comfort cooling throughout. The productive approach is usually targeted: cool the offices, the mezzanine, the packing stations and any temperature-sensitive storage, and treat the main volume separately with destratification or ventilation where that is the real issue.
High-level plant, long pipe runs and access equipment are the main cost drivers in industrial buildings, and roof-mounted condensers need positions that can be reached safely for maintenance for the next fifteen years — not just on installation day. We plan for that explicitly, because a system that cannot be serviced economically stops being serviced.

Three pieces of paperwork decide the timeline on most commercial projects, and all three are best started before equipment is ordered.
Landlord consent. Most commercial leases require a licence to alter for external condensers or anything affecting building services. Managing agents want drawings, an equipment schedule, insurance and contractor credentials. We prepare that pack with the proposal.
Planning. Commercial condenser installations more often need consent than domestic ones, particularly on visible elevations, in conservation areas or where acoustic conditions apply at a residential boundary. The Planning Portal's guidance on air conditioning is the starting point, though for larger plant a pre-application conversation with the borough is often the faster route.
F-Gas duties. Once a commercial system is running, statutory leak checking and record keeping apply above defined refrigerant charges — and that duty sits with you as the operator, not with the installer. Working with a REFCOM registered contractor means those records are opened correctly at commissioning and kept current through your maintenance visits.
What it costs, and how we price it
Commercial pricing follows kilowatts of cooling and installation complexity, not headcount or floor area. As a rough orientation, a single ceiling cassette serving a meeting room or a small shop unit typically lands between £3,000 and £4,500 installed. A pair of cassettes across a modest office suite usually falls between £6,000 and £10,000. Full VRF systems serving a whole floor are quoted per project, because the variables — riser routes, roof plant positions, controls integration and builder's work — differ so much between buildings that a per-square-metre figure would be misleading.
Three things move a commercial figure more than the equipment does. Access is the first: roof plant needing a crane lift or a mobile tower is a fixed cost regardless of how quickly the units go in. Out-of-hours working is the second, and it is almost always worth paying for on a trading site. The third is builder's work — core drilling, fire-stopping, ceiling alterations and making good — which is genuine cost that a suspiciously cheap quote has usually left out rather than absorbed.

We prepare that pack as part of the proposal, because starting it late is the most common cause of a delayed commercial project.
What are our legal obligations once the system is in?
Commercial systems above certain refrigerant charges carry mandatory leak-checking intervals and record-keeping duties under F-Gas regulations, and the duty sits with you as the operator rather than with your installer. In practice that means a maintenance contract with documented visits. We open the logbook at commissioning and keep it current if you hold the maintenance with us.
Can you work on an occupied office without disrupting staff?
That's most of what commercial installation involves. We phase the work zone by zone, run pipework in ceiling voids and risers rather than through occupied space where possible, contain dust, and keep the noisy elements — core drilling, plant lifts — outside core hours. The programme in your proposal sets out exactly which areas are affected and when.
Do you maintain the systems you install?
Yes, and we'd encourage it. Commercial maintenance contracts cover scheduled servicing, statutory leak checks, F-Gas record keeping and priority response on breakdowns. For a retail or hospitality site where a failed system means lost trade rather than discomfort, that response time is usually the part that matters most.
